Make each stage legible to the next person, from first decision to final submission.

Assign before drafting

A shared record works only when the next action has an owner.

  1. Name the pursuit owner and submission lead.
  2. List narrative, budget, attachment, and executive review responsibilities.
  3. Set internal dates before the funder’s deadline.

Review defined versions

A sign-off should apply to content someone actually saw.

  1. Bring the application into a reviewable version.
  2. Resolve comments and identify the final approver.
  3. If content changes after approval, review the new version again.

File the receipt

The team still controls submission in the funder’s process.

  1. Follow the live funder instructions.
  2. Save confirmation details and the submitted version.
  3. Hand any award and reporting obligations to the next owner.
